A dining chair can look right in a showroom and still leave important questions unanswered. Will the production order match the approved sample? Will the upholstery tolerate the restaurant's cleaning routine? How much space will the packed chairs take up, and who will assemble them on arrival?
Dining chair manufacturing usually involves component cutting and shaping, frame assembly, finishing, upholstery and final assembly before inspection and packing. The sequence varies with the design. For importers and hospitality buyers, the useful question at each stage is what the factory controls and what evidence you need before approving an order.
This guide focuses on wood- and metal-framed indoor dining chairs, including upholstered designs, and the checks that connect manufacturing decisions to purchasing risks.
Start with where and how the chair will be used. A restaurant may need seating that is moved and cleaned several times a day. A hotel project may need upholstery and finishes to match an approved interior scheme. A wholesaler may need repeatable specifications and packaging suitable for onward delivery to customers.
Record the intended use, destination market, table dimensions, cleaning products and any project testing requirements before sampling. For armchairs, check the clearance beneath the table apron. For swivel models, allow space for the chair to turn without hitting nearby furniture.
Wood and metal both have a place in dining seating. Neither material label establishes commercial suitability; the frame design, connections and evidence for the finished model matter.
Wooden components are cut and shaped before their joints are fitted and assembled. Metal frames may require tube cutting, bending and welding, followed by surface preparation and coating. In either construction, component dimensions and assembly alignment affect whether the finished chair sits evenly and matches the approved design.
For wooden frames, specify the wood species and agree how moisture content will be checked before assembly. The appropriate moisture condition depends on the expected service environment; a single percentage is not suitable for every destination. For metal frames, request the material and tube dimensions, including wall thickness, on the specification sheet. Inspect sample welds and joint locations, but use structural test evidence to assess performance. A neat-looking weld alone does not establish joint strength.

If the chair uses bolted connections, review the hardware, assembly sequence and tightening instructions. Assemble a sample using the instructions intended for the customer. Check alignment, access to fasteners and whether the specified fittings are included. These details affect installation work and the handling of loose-joint complaints.
Comfort depends on the relationship between the seat, backrest, cushioning and table. Review seat height, usable seat depth, backrest support and front-edge pressure on the assembled sample. Include people representative of the intended users in the seating review; a dimension sheet cannot replace sitting in the chair.
For upholstered models, request foam density, thickness and firmness. Density and firmness describe different properties: a dense foam can still feel soft. The Polyurethane Foam Association explains this distinction and describes fatigue testing that measures changes in foam height and firmness. "High-density foam" by itself is an incomplete purchasing specification.
The cover material needs its own review. Obtain the fabric or coated-material code, composition, care instructions and relevant test results. Check seam placement, stitching and upholstery tension on the finished chair.
For woven upholstery, record the abrasion method alongside the result. Martindale cycles and Wyzenbeek double rubs cannot be converted into equivalent ratings, and abrasion results do not predict service life on their own. See the Association for Contract Textiles' abrasion guidance.
For PU-coated upholstery, ask about hydrolysis resistance and compatibility with the cleaning products used at the venue. Heat and humidity can contribute to cracking or delamination; unsuitable cleaners can produce similar damage. Accelerated test weeks do not translate directly into years of use. Finishing affects appearance and maintenance. Wood may be sanded, stained and coated; metal may be prepared and powder coated. Request the finish specification and relevant performance evidence for the intended use, rather than accepting "scratch-resistant" as a complete description.
Approve a physical finish sample under agreed lighting, together with the upholstery swatch. Record the colour, gloss or texture, and acceptable natural variation where relevant. Photographs are useful for communication, but screens and lighting can change how a colour appears.
Check the complete chair, including hidden edges, the underside of the seat and floor glides. Agree the glide material for the intended flooring and whether replacements can be supplied.
A stated load capacity does not explain how a chair was evaluated. A static load test, repeated loading and a stability assessment answer different questions. Avoid comparing "standard", "reinforced" and "premium" chairs solely by kilogram ratings.
Agree the relevant testing scope with the supplier and a qualified test laboratory. Examples of standards that may be relevant include:

These standards are examples for specification discussions. The destination, product design and project requirements determine the testing needed. Structural test evidence does not establish every aspect of upholstery performance or fulfil all fire-related requirements.
Read beyond the report's cover page. Check the model reference, photographs, construction, standard and edition, tested requirements, results, laboratory and report date. If the proposed chair differs from the tested configuration, ask whether the change affects the report's applicability or requires further testing.
An approved sample becomes useful when it is tied to a written specification. Keep an identified reference sample and signed specification covering the frame, key dimensions and agreed tolerances, upholstery code, foam, finish, hardware and packaging. Record the document revision on the purchase order.
Agree that material or construction substitutions require written approval. Changes that look minor in a photograph can affect appearance, assembly or whether earlier test evidence still applies.
Before production starts, define the inspection stages, sampling plan, defect categories and acceptance criteria. For example, identify how the inspector will check dimensions, colour variation, stitching, assembly and whether the chair sits level on a verified flat surface. Include the action to take if an inspection fails, such as correction and reinspection before release.
Routine production inspection and model performance testing have different roles. The inspection checks whether sampled units match the order requirements; it does not establish that every chair has passed the full durability test programme.
Packaging needs to suit the whole delivery route, including onward distribution after import. Ask for an actual packing specification:

Use actual outer dimensions. Container capacity also depends on carton orientation, stackability, weight and the loading arrangement; dividing container volume by carton volume gives only a theoretical estimate.

Knock-down packing may reduce shipping volume, but include assembly labour, hardware handling and installation timing when comparing it with assembled delivery. For a hotel opening, the ability to install chairs on schedule can outweigh a small reduction in freight cost.
Ask which packaging test matches the distribution route. ISTA's selection guidance distinguishes parcel delivery, freight and other handling environments. A packaging test used for one route may not address the conditions of another.
Request the minimum order quantity for the selected model and the minimum per upholstery or finish option. Check whether mixed colours count towards the same minimum and whether custom materials or packaging introduce separate requirements. This gives a clearer basis for planning an opening order than a single factory-wide MOQ.
Record the event that starts the agreed schedule, such as deposit receipt and approval of the sample and materials. Separate the production completion date, readiness for shipment and required arrival date. Include time for inspection and any agreed corrections.
Confirm how to report defects or transit damage, the evidence required, the claim period and the agreed remedy. For future replenishment, ask about the availability of the selected fabric, finish, hardware and glides. Keep the approved specification revision so that repeat orders refer to the same product.
